As our Procurement & Logistics Coordinator, you’ll be the engine behind how our games get made and moved. You’ll work directly with our manufacturing partners (primarily in China), our freight forwarder, our 3PL, and our retail partners to keep products on schedule and on spec. This role reports directly to the Procurement & Logistics Manager and is a key contributor to how DSS brings new and returning titles to market.
This is a role for someone who takes initiative, owns outcomes, and obsesses over the details. A small error on a carton label, a missed email with a factory, or a stale entry in our ERP can cascade into real problems downstream — we need someone who catches those things before they become issues, not after. Reports to: Procurement & Logistics Manager
Location: Solana Beach, CA — hybrid (in office approximately two days per week)
Employment: Full-time, exempt, with benefits
Salary range: $55-65K with total comp $75-85K+
Essential duties and responsibilities
The following responsibilities describe the general nature of the role. They are not all-inclusive, and specific tasks will flex as company initiatives evolve and the role grows.
Procurement & Manufacturing Coordination: 45%
- Serve as the day-to-day point of contact with our manufacturing partners, coordinating active POs, carton marking requirements, retailer compliance guidelines, and production timelines. Strategy and negotiation stay with the Procurement & Logistics Manager; you own the execution.
- Create and maintain purchase orders with direction from the Procurement & Logistics Manager; keep POs accurate and current as schedules shift.
- Maintain concurrent manufacturing schedules for multiple products (reprints and first runs), in concert with the creative and product development teams and tracked via Monday.com.
- Chase, receive, and log bulk production advance copies and inspection reports from factories for review and approval.
- Communicate approved HTS codes to our freight forwarder.
- Coordinate factory holiday and peak season planning by executing the tactical queuing with factories and freight forwarders.
- Verify factory carton marking and customer compliance details on POs, using guidelines provided by our retail channel leads (Walmart, Amazon, Target, and others).
- Participate in DSS’s green manufacturing initiatives.
Shipping Logistics & Documentation: 30%
- Coordinate routine day-to-day communication with our freight forwarder(s) — inbound appointments, shipment releases, container assignments.
- Obtain and distribute all necessary shipping documents for FOB, Dropship, and 3PL shipments, ensuring information is accurate and transferred to all required parties on time.
- Manage the day-to-day handling of FOB and international FOB sales orders shipped directly from our factories, including communicating retailer-specific instructions to factories and coordinating product release to customer-designated freight forwarders.
- Communicate with our 3PL on incoming containers, expected timelines, and priorities for expedited receipts.
- Update and maintain ERP and 3PL entries for all inbound shipments, including new item setup and incoming container details.
- Validate inbound-side charges on ocean freight invoices and weekly 3PL invoices.
ERP, Data & Visibility: 15%
- Own the accuracy and upkeep of product item details in Cin7, including item creation and dimension setup/updates.
- Export item data to our 3PL’s system and keep product records accurate and current.
- Maintain day-to-day PO and shipment tracking in Monday.com so Marketing, Sales, and other internal stakeholders have dependable, up-to-date visibility into timelines.
Projects & Cross-Functional Support: 10%
- Collect information and help prepare the agenda for our bi-weekly 3PL call; capture notes and follow-ups.
- Provide support on ad-hoc projects and admin tasks as they arise.
- Participate in playtesting and provide feedback on potential new titles.
- Critique new products in development from a production cost and function standpoint, help obtain development samples, and facilitate internal revision cycles.
Requirements
- 1–2 years in logistics, supply chain, manufacturing coordination, operations, or a similar role. Highly motivated candidates with less direct experience will be considered if they can demonstrate standout initiative and organizational skill.
- Outstanding organizational, coordination, and written communication skills — especially with overseas partners where clarity reduces back-and-forth.
- Obsessive attention to detail in data entry, documentation, and follow-through.
- Demonstrated initiative and ownership — someone who closes loops without being asked, flags issues early, and cares about getting things right.
- Ability to manage multiple concurrent projects, deadlines, and shifting priorities without losing the thread.
- Comfort working autonomously and asking good questions when direction is needed.
Preferred qualifications
- College graduate.
- Prior experience working with factories in Asia.
- Experience with ERP software (Cin7 a strong plus).
- Familiarity with Monday.com or similar project/ops tracking tools.
- Exposure to international ocean freight shipping, customs documentation, or HTS classification.
- Comfortable in a small, casual, fast-moving office environment where roles flex.
Compensation & Benefits
The salary range for this position is $60,000–$70,000 per year. Actual compensation within this range is determined based on experience, skills, and qualifications. This is a full-time, exempt position eligible for our benefits package.
